This technical documentation outlines the definitive guidelines for operations, leave management, working hours, and communication at Nexeor Creative Technologies. Adherence to these guidelines ensures a transparent, highly efficient, and respectful remote-first culture.
1. Company Overview

2. Way of Work & Hours
At Nexeor, our operational model is intentionally structured to support both peak individual productivity and seamless team flexibility. We believe in empowering our team to manage their time while ensuring we meet our rigorous standards for client delivery.
The 8-Hour Math: 5 Core Hours + 1 Hour Lunch Break (10 AM to 4 PM window) + 3 Flexible Hours = 8 Active Working Hours.
2.1 The Hybrid Schedule: Core vs. Flexible Hours
To balance deep, uninterrupted work with real-time collaboration, we operate on a mandatory Core Hours system.
Core Hours (10:00 AM - 4:00 PM)
These 5 hours (excluding a 1-hour lunch break) are sacred. All team members must be online, active on Slack, and available for Google Meets.
- Client Alignment: Synchronizes us with peak global business hours to handle urgent client inquiries.
- Team Overlap: Guarantees real-time communication, PR reviews, and unblocking teammates without delay.
Flexible Hours (3 Hours)
The remaining 3 hours needed to hit your daily 8-hour quota can be completed asynchronously at any time that suits your personal peak productivity.
- Early Birds: Log hours before 10:00 AM (e.g., 7:00 AM - 10:00 AM).
- Night Owls: Log hours after 4:00 PM (e.g., 4:00 PM - 7:00 PM).
3. Leave & Holiday Policy Updated
Nexeor utilizes a centralized, transparent system for managing all leaves and holidays. You are no longer required to email HR or your Manager to request a leave unless explicitly asked. Everything is managed securely through Nexeor Agency OS.
3.1 The "My Portal" Dashboard
Every employee has access to their personal dashboard via Agency OS. This portal acts as your central hub for tracking your attendance, leave statistics, and payrolls.
3.2 Mandatory Holiday Selection
Nexeor observes 13 paid public holidays per calendar year. Because we are a diverse global team, you have the flexibility to choose which holidays you wish to observe.
- You must select your 13 optional holidays directly from the My Portal page in Agency OS.
- Lock-in Rule: Once your 13 holidays are picked and saved, they cannot be changed unless a formal request is made to, and approved by, HR.
- Your selected holidays (e.g., Easter, Vishu, Good Friday, Holi) will automatically reflect on your Personal Attendance Calendar in the portal.
3.3 Leave Entitlements

3.4 Requesting a Leave (Action Portals)
To request any type of leave (Planned, Sick, Unpaid, etc.), you must use the secure online systems. Do not use Slack or Email to request time off. Please choose one of the official portals below to process your request:

Log in to your complete employee profile to view your leave balances, pick your 13 holidays, and submit leave requests internally.

Apply for Leave Now →Mandatory Form Requirements: When using the Leave Portal, you must accurately input your Identity, select the Leave Modality (e.g., Annual Leave/PTO), choose the duration, and provide explicit details in the Mandatory Reason/Notes field for HR review. Blank reasons will be automatically rejected.
4. Time Tracking & Accountability
Accurate time tracking is the lifeblood of our agency's profitability and project management. All team members must use NeetoInvoice to log their tasks daily.
Compliance & Enforcement: Logging your time is not optional. Inaccuracies, inflated hours, or missing entries will cause discrepancies in client billing and may result in a direct loss of pay or disciplinary action.

5. Communication Guide
Building world-class software requires seamless, high-fidelity communication. Explaining abstract ideas, providing insightful pull request comments, and unblocking teammates are everyday tasks that demand clarity. At Nexeor, communication is handled with intent to protect deep focus time.
5.1 The "Clear With Oneself" Principle
Before initiating any message or meeting, you must organize your thoughts. Thinking while typing leads to rambling, confusing messages that force the recipient to waste time decoding your intent.
The Golden Rule: Draft your message locally first. Ask yourself: "Does this message contain all the necessary background context? Is my request or question absolutely clear?" If yes, send it.
5.2 Choosing the Right Medium
Selecting the correct platform is critical. We default to Asynchronous communication to respect everyone's time. Only escalate to Synchronous communication if an issue is truly urgent (i.e., it is actively blocking progress or poses a severe risk).
5.3 Transparency & Slack Etiquette
Our default behavior is radical transparency. Information hoarding is detrimental to team velocity.
- Public by Default: Restrict 1-on-1 Direct Messages (DMs) to sensitive or private matters. Project discussions, bug reports, and questions should always happen in public channels so everyone benefits and a searchable paper trail is created.
- Educate the Team: If a colleague asks a project-related question in a DM, politely ask them to move the conversation to the appropriate public channel.
- No Sarcasm: Text lacks tone. Sarcasm is easily misinterpreted and creates toxic environments. Be objective and constructive.
- Avatars: Make it personal. Use a real photo of yourself across all tools (Slack, Google, Git) to humanize digital communication.

5.4 Google Meet & Video Call Protocols
We use Google Meet exclusively for video calls (Sprint Planning, Retrospectives, 1-on-1s, All-Hands). Do not use Slack Huddles or Calls.
The True Cost of Meetings: A 1-hour meeting with 5 people is not a 1-hour event; it costs 5 person-hours of company time, plus the heavy cost of context-switching that destroys deep work momentum. Because of this, meetings must be highly structured.
1. Participant List
Do not invite anyone whose input isn't strictly necessary. Let them stay in deep work.
2. Meeting Lead
One person is definitively in charge of steering the conversation and watching the clock.
3. Clear Agenda
Bullet points of exactly what will be discussed, sent to all participants in advance.
4. Expected Outcome
What specific decision, document, or action plan needs to be generated by the end?
5. Time-Box
Strive for 30 minutes or less. A clear agenda makes this easily achievable.
Calendar Integration: Maintain an up-to-date Google Calendar to accurately reflect your availability. Install the Google Calendar Slack Plugin to automate status updates. Ensure push notifications are active on both your mobile device and PC so you never miss the start of a meeting.
During & After the Meeting: The meeting lead is responsible for taking detailed notes. Immediately following the meeting, these notes and actionable Next Steps (assigned to specific owners with deadlines) must be shared with all participants via the relevant public Slack channel or Jira ticket.
6. Complaint System Policy
Nexeor provides a safe process for employees to raise complaints, ensuring all concerns are addressed fairly, confidentially, and without fear of retaliation.
6.1 What is a Complaint?
A complaint is any expression of dissatisfaction or concern about working conditions, treatment by colleagues/management, workplace harassment/bullying/discrimination, violations of company policies, or unethical/illegal behavior.
6.2 Principles of the Complaint System
- Confidentiality: All complaints are handled with discretion and sensitivity.
- No Retaliation: Employees will not suffer retaliation for raising a complaint in good faith.
- Fairness: All parties will be treated with respect and given a chance to be heard.
- Timeliness: Complaints will be addressed promptly.
6.3 Steps for Resolution
- Step 1: Informal Resolution (Optional): Attempt informal resolution directly with the person involved, if you feel safe doing so.
- Step 2: Formal Submission: Submit a formal complaint via email to
hr@nexeor.com. Include descriptions, involved parties, dates, and any evidence. - Step 3: Investigation: HR will conduct an impartial investigation. Acknowledgment will be sent within 2 working days, and the investigation will start within 5 working days.
- Step 4: Outcome: Resolution is targeted within 14-21 days. If dissatisfied, the employee may appeal in writing within 7 days.
